Recurring Meeting of Cleveland Clinic - Stanford University

Date: March 8, 2016

Time: 6:00 PM EST

Means: Conference Call

Attendees:

  1. Ahmet Erdemir (Cleveland Clinic)
  2. Joy Ku (Stanford University)
  3. Mike Wong (Consultant)

Agenda:

This was a free form meeting to discuss high level specifications of a data management system for the implementation of an initial prototype. The meeting also facilitated introductions between Ahmet Erdemir and Mike Wong, consultant on prototype development. Joy has listed a number of questions in the specifications page for data management to guide the discussions.

Immediate Action Items:

Notes:

  1. Joy wanted the initial prototype to start with imaging files. This prototype is targeted to upload and reorganize the raw files and allows dissemination.
  2. The group discussed desired features for data upload and organization, which included the capability to replicate a local directory structure on the online system through a web-based interface, i.e. directory upload. Metadata for the raw files can be generated from any text based source, e.g. wiki pages, readme files, etc. After uploading, the web-based interface should allow adding/deleting/renaming/moving files and directories.
  3. The dissemination component should allow the data provider generate release versions from raw data. The metadata of any derivative data should be inherited from raw files and disseminated files should include, at a minimum, date and location of the data, as extracted from the data management system and licensing information. From a users perspective, disseminated data should be searchable, e.g. by demographic information, by data type, by licensing, etc. At this moment, queries across different studies are not anticipated. If needed, these type of searches should allow gross identification of studies that may contain relevant data and let the users conduct detailed queries within the study.
  4. Ahmet also answered more specific questions indicating the ability to set granular permissions, the capability to import meta-data from wiki pages and readme files, the detailed set of query fields, and provenance information.
  5. The outcome of this meetings discussion is also summarized in the data management specifications page, see Revision as of March 11, 2016
